SABBATICAL LEAVE:  Full-time Faculty

In accordance with Article XXI, section 21.3.d Sabbatical Leave of the CFE/AFT Contract.

The IPD Committee supports and values the sabbatical leave as an opportunity for professional growth. Sabbatical Leave brings new ideas, innovations, and creativity to our students’ educational experiences and reflects GWC’s commitment to excellence. The IPD Sabbatical Leave Committee supports your success and asks that you carefully follow the directions in this Sabbatical Leave packet linked above. The IPD is committed to helping all applicants in this process.

PURPOSE
Faculty Members will be encouraged to pursue professional growth leading to the development of increased competence and the improvement of instruction and/or redirection in their teaching discipline. The District’s sabbatical leave program is designed to assist in this pursuit.

ELIGIBILITY 
A regular (full-time) faculty member may apply for a sabbatical leave after six years of consecutive years of service with the district. It is recommended that you review Article XXI, section 21.3.d of the CFE/AFT Contract prior to proceeding with the application process to determine eligibility and benefits. Contact Kyla Bentley at District HR to confirm your years of service to determine eligibility. APPLICATION PROCESS - Faculty interested in applying for a Sabbatical Leave are encouraged to review the Sabbatical Leave Application Packet before beginning the application process.

  1. Submit an INTENT TO FILE for Sabbatical Leave Form. It must be submitted to the IPD Office one year prior to the academic year you wish to take the sabbatical leave. Due by the Friday of the 2nd week of the Fall semester (contractual deadlines). This is a required step, and a sabbatical application cannot be accepted without it. Late submissions are not accepted.

  2. Submit a SABBATICAL LEAVE APPLICATION (refer to Sabbatical packet) and your PROPOSAL. The Sabbatical Leave application and proposal are due to the IPD Office by the Friday of the 3rd week of the Fall semester. You may submit your documents electronically to GWCIPD@gwc.cccd.edu . The IPD Office will provide a confirmation receipt of your application. If you do not receive confirmation, it is the faculty member's responsibility to follow up with the IPD Office PRIOR TO the deadline.

PROPOSAL EVALUATION PROCESS 

Review by the IPD Sabbatical Leave Committee

All Sabbatical Leave proposals are formally reviewed and evaluated by the IPD Sabbatical Leave Committee. The committee uses a structured, point-based system per the CFE/AFT Contract to ensure proposals are assessed consistently, fairly, and transparently, and will assign a ranked order of recommendation.

  1. Revised Proposals

After reviewing submitted proposals, the Sabbatical Leave Committee will notify the faculty member if revisions are recommended; such notification will include written clarification and a list of suggested changes or improvements, and the faculty member shall have the option to submit a revised proposal in accordance with the established timeline:

  • By October 2, 2026 – IPD Sabbatical Leave Committee: Proposals requiring revision will be returned to the applicant (End of 6th week of the Fall semester)
  • By October 16, 2026, by 11:59 pm – Faculty Member: Deadline for submission of revised proposal to the IPD Office (End of 8th week of the Fall semester)

 

  1. Review and Decision by the College President
  • By November 3, 2026 – The IPD will submit all proposals approved for recommendation to the College President for further consideration, presented in alphabetical order. The College President may convene a meeting with the IPD Sabbatical Leave Committee Chair and the applicant, as needed, to discuss the proposal.
  • By November 18, 2026 – Upon request, the IPD Sabbatical Leave Committee will provide the ranking to the College President. Ranking becomes determinative when available funding is insufficient to support all qualified applicants.
  • By December 1, 2026 – The College President will forward the recommended Sabbatical Leaves to the Board of Trustees for final approval.
  • January 2027 – Board of Trustees approves sabbaticals

 

  1. Notification to Applicant
  • By February 5, 2027 – The Sabbatical Leave Committee will notify candidates. (End of 1st week of the Spring semester)

 

SABBATICAL REPORT

Per the CFE/AFT Contract, upon completion of your sabbatical leave, and within 60 calendar days of your return to duty, a written report must be submitted to the IPD Office at GWCIPD@gwc.cccd.edu detailing the project and its outcomes. The report will be provided to the IPD and the College President.  A copy will be housed in the library (Public Service desk) and on the IPD SharePoint.  

PRESENTATION

As part of the sabbatical report process, faculty members will provide a brief presentation to the IPD summarizing their sabbatical activities and outcomes. Approximately five minutes are allotted for the presentation, followed by time for committee questions, if needed. There is no required format, and presenters may use PowerPoint, photos, or other supporting materials if they wish. The IPD Office will contact you to schedule your presentation. The IPD meets on the 1st and 3rd Thursdays from 1:15 – 2:15 pm in LRC 250.  

APPEALS

Appeals on any action must be filed within five (5) working days from the time the applicant received notice of action.  Failure to meet deadlines is not appealable. Refer to the page 16 in the handbook for more information.

 

IMPORTANT REMINDERS

  • Submit an Intent to File form if you plan to apply for a Sabbatical Leave. You may withdraw your intent at any time, but an Intent to File form must be submitted by the deadline to be eligible to apply.
  • Review the Sabbatical Leave Timeline for exact dates.
  • If you do not receive a confirmation email when you submit your Sabbatical Leave material, follow up with the IPD Office.
